Delete, Delegate, Defer, Do

A simple checklist-style illustration featuring four options: Delete, Delegate, Defer, Do. The first three are unchecked, while the “Do” box is ticked with a green checkmark. The name “Martine Ellis” appears in the bottom right corner.

Delete, Delegate, Defer, Do is a classic task management framework that is especially useful for tackling your inbox.

Before responding to an email, ask yourself:

  • Can I delete it?

  • Can I delegate it?

  • Can I defer it? (Add it to your to-do list).

  • Or should I do it now? (Apply the 2-minute rule here).

You might think the "delegate" option is a sticking point but don't forget AI. Delegate admin, summaries, and scheduling to your AI so you can free up your time to work on your most important tasks.

Next time your inbox feels overwhelming, try the four Ds.

Which one do you need to use more?
